Austin from Bay Area Children’s Theatre showed me how he’s using Propared to help with his payroll process. In short, by exporting booking and schedule information to a spreadsheet, you can use Pivot Tables to break down the calls by person, project, and date. You can also tally up hours and check for OT overages. Finally, you can regroup your information to get it set up for the next step of your payroll process.
Here’s a step-by-step rundown:
Get fancy with the Pivot Tables:
- Suggested Fields
- Team Member
- Team Member, Date, and/or Project
- Sum of Duration
You can also add a rate column to calculate total pay for each person.
Now you can send this information straight to your payroll department or provider.
By exporting the bookings list to a .CSV file you’re also creating a pre-filled timesheet. Just add blank columns for the actual times worked and you’re good to go!
